1. Purpose of this manual
PAIA gives effect to the constitutional right of access to information held by the State and to information held by another person that is required for the exercise or protection of any right.
This manual tells you what records PartnerBridge (Pty) Ltd holds, and how to request access to them. It is available on this website and at our head office, and may be inspected free of charge.

3. The Information Regulator’s guide
The Information Regulator has compiled a guide, in terms of section 10 of PAIA, containing information a person may need in order to exercise their rights under the Act. It explains how to make a request, the fees payable and the remedies available if a request is refused.

4. Records available without a formal request
The following are available on request, or published, without a PAIA request being necessary: material published on this website, marketing and product material, and any records PartnerBridge (Pty) Ltd is required by law to make publicly available.

5. Records held, by subject and category
The categories below describe the records PartnerBridge (Pty) Ltd holds. Listing a category does not mean the records in it will be released — a request is assessed against the grounds for refusal in Chapter 4 of Part 3 of the Act.
- Company secretarial and statutory. Founding statement and certificate of incorporation, memorandum of incorporation, share register, directors’ details, minutes of directors’ and shareholders’ meetings, statutory registers.
- Financial and tax. Annual financial statements, management accounts, ledgers and journals, invoices and statements, banking records, asset register, VAT and PAYE records, SARS correspondence and returns.
- Human resources and employment. Employment contracts, personnel files, job descriptions, remuneration and payroll records, leave records, disciplinary and grievance records, training records, employment equity and skills development records, medical aid and retirement fund records.
- Client and commercial. Client agreements and statements of work, service level agreements, proposals and quotations, project documentation, correspondence, non-disclosure agreements, billing records.
- Supplier and procurement. Supplier and sub-processor agreements, purchase orders, invoices, licence agreements for third-party software and services.
- Product, technical and intellectual property. Platform source code and repositories, architecture and design documentation, security documentation and assessments, trade marks and other intellectual property records, deployment and configuration records.
- Information technology and security. System and access logs, backup records, incident records, business continuity and disaster recovery documentation, security policies.
- Marketing and enquiries. Website content, marketing material, enquiries submitted through this website, records of demonstrations and consultations.
- Insurance and risk. Insurance policies, claims records, risk assessments.

7. Personal information we process
This section is included in accordance with the requirements applicable to a manual following the amendments introduced by the Protection of Personal Information Act, 4 of 2013.
Categories of data subjects and the information held
- Website enquirers. Name, cell number, email address, company name, website address, and any message submitted.
- Clients and prospective clients. Contact details of representatives, contractual and billing information, correspondence.

- Suppliers and service providers. Contact and contractual details of representatives.
Recipients
Personal information may be shared with our service providers, our regional implementation partners where you ask to be introduced to them, our professional advisers, and regulatory or law enforcement authorities where we are legally required to do so. The operators processing website enquiries are listed in our Privacy Policy.
Cross-border transfers
Some of our service providers operate infrastructure outside South Africa. Transfers are made in accordance with section 72 of POPIA. See the Privacy Policy for detail.
Retention and security
Records are retained for the periods required by the applicable legislation, or for as long as necessary for the purpose for which they were collected. Security safeguards include [SUMMARISE ORGANISATIONAL AND TECHNICAL SAFEGUARDS].
Data subjects may object to processing, or request correction or deletion, as described in our Privacy Policy.
8. How to request access to a record
Complete the prescribed Request for Access to Record form and send it to the Information Officer at the address in section 2. Your request must:
- Provide sufficient particulars to identify the record and the requester
- Indicate the form of access required
- Specify a postal address or electronic address in the Republic
- Identify the right you are seeking to exercise or protect, and explain why the record is required to exercise or protect it
- Be accompanied by proof of identity, and of authority where you act for another person
- Indicate if you wish to be informed of the decision in any manner other than in writing
We will decide within 30 days of receiving the request, and notify you of the decision. That period may be extended as permitted by the Act, in which case we will tell you.
9. Fees
A request fee and, where access is granted, an access fee calculated in accordance with the prescribed tariff may be payable. We will notify you of any fee before processing the request, and access will not be given until it is paid. Current prescribed fees are set by regulation and are available from the Information Regulator.

10. Grounds for refusal
A request may be refused on the grounds set out in Chapter 4 of Part 3 of the Act, which include the mandatory protection of:
- The privacy of a third party who is a natural person
- The commercial information of a third party or of PartnerBridge (Pty) Ltd
- Information held in confidence, where disclosure would breach a duty
- The safety of individuals, and the protection of property
- Records privileged from production in legal proceedings
- Research information of a third party or of PartnerBridge (Pty) Ltd
Where we refuse a request, we will give written reasons and inform you of the remedies available.
11. Remedies
PartnerBridge (Pty) Ltd is a private body. A requester who is dissatisfied with a decision may lodge a complaint with the Information Regulator, or apply to a court for appropriate relief.

The internal appeal procedure under section 74 of PAIA applies to public bodies. PartnerBridge (Pty) Ltd, as a private body, has no internal appeal process, and the prescribed Internal Appeal Form is accordingly not published.
